Why You Want Chargebee and Excel Integration

 

With the rise of software as a service (SaaS) and other subscription model products and services, businesses are increasingly turning to tools like Chargebee, a subscription management platform that automates imperative billing processes, from invoices to renewals, and even subscription services and reconciliations. 

Chargebee helps with invoicing by replacing the need to understand tax compliance and invoicing rules, with automation of the entire invoicing process including tax management and proration. Chargebee also takes care of automating the renewal process so users can avoid having to manually track when renewals are up and then invoice them. Chargebee manages end-to-end subscription services processes—including customer information, card details, invoices, plans, add-ons, and coupons—and integrates with a myriad of other platforms to allow users to pull the data into their platform of choice. Finally, Chargebee even helps manage reconciliations by letting customers avoid manual processes via automatically moving transactions from the payment gateway into the accounting software. It simultaneously protects customer information while managing all of these disparate processes. 

Using Chargebee with Excel

While Chargebee’s capabilities are impressive on their own, customers may find that they want to automate setting up a certain alert or trigger based on a set of attributes, create a dashboard or pivot tables based on Chargebee data, and share it with others outside of Chargebee, or combine Chargebee data with data from other systems into the same Excel workbook. Due to Excel’s massive popularity, relatively low learning curve, and ability to create dynamic dashboards, it’s naturally the tool of choice for analysis at many organizations. 

But adding Chargebee data to Excel manually is a time-consuming and intensive process, rife with the opportunity to inadvertently introduce errors to the data that could quickly devolve into costly problems. 

Which is why we recommend ditching the static spreadsheets and adding Excel integration. 

Driving Opportunity with Integration

Integration doesn’t mean that the original tool is lacking in and of itself. Rather, integration reflects the opportunity to make a tool even more powerful when connected than it can be alone. Just take a look at what you can do with Chargebee and Excel integration:

Subscription Dashboard Template
A subscription dashboard shows total subscriptions, average subscription value, MRR and total number of customers. It can even show where subscriptions originated from and where they are being shipped, if applicable, all in one view. Users can drill down into subscriptions to see information about the subscription itself.

Failed Payments
Payments can be reviewed by amount, when it was created, customer ID, and invoice ID. So, a user could look by a certain month or other period. Once the information needed is in the report, use formulas to tabulate the information by other attributes, such as the size of the failed payment or the year where failed payments occurred. 

ARR Data
By using an ARR query and downloading it into Excel, users can review ARR based on different attributes, such as a particular customer, net retention over time, invoice month, and more. Using Excel’s pivot table or sum if functionality, insert a chart to visualize a component of ARR better. This can help gain a much deeper understanding of churn and revenue patterns.  

Combining and Sharing Data
Another benefit of using Excel for analysis of Chargebee data is the ability to combine it with data from other sources, such as Hubspot. Hubspot typically houses even more information about where customers are located, what their industry is, and what their size is. By combining that with subscription attributes in Hubspot, it can help paint a more holistic picture of the firmographic data behind the subscription. Using Excel a user could also share the report or visualization much easier than natively in Chargebee if another user does not have a Chargebee subscription. If there are reports that need to be shared and updated every month, this can make that process substantially easier.
